Policies
These policies are part of enrollment and apply to all sessions. Questions? Email lucas@sim2realacademy.com.
Scheduling
- Robotics Coding: live, remote, 8 weeks (8 sessions, 60 minutes each).
- Game & Simulation Design with AI: live, remote, weekly sessions, usually 2 hours each.
- Movie Magic Studio: 8 in-home classes (Atlanta metro), including a film day; scheduled by email.
- In-home robotics add-ons are 2-hour sessions and scheduled separately (Midtown/Atlanta).
- A parent or guardian is present at the home during all in-home sessions.
- Scheduling shifts can be coordinated by email (ET).
- Confirm your weekly slot: book via Calendly (payment confirms your slot).
- Zoom link is provided after your weekly time is confirmed.
Cancellations & refunds
- Full refund before Session 1: cancel before attending Session 1 for a full refund (payment processing fees may be non-refundable).
- Prorated after Session 1: after Session 1, refunds are prorated based on sessions attended (at the per-session rate for your offer).
- Late cancel: reschedule/cancel requests within 24 hours of session start are considered a late cancel.
- No-show: if the student does not join within 10 minutes of start time and we don’t receive a message beforehand.
- Rescheduling: we try to accommodate reschedules with 24+ hours notice. Make-up sessions are not guaranteed.
- Tech issues: if Zoom/lab issues are on our side, we’ll reschedule or credit the session. If issues are on the student side, we’ll try to help troubleshoot and provide a make-up assignment if needed.

Filming & media (Movie Magic Studio and showcases)
- Media release first: before any filming, a parent/guardian signs a media release. No student is ever filmed without it.
- Purpose of filming: footage from film day is used to produce your family's finished film. The finished film belongs to your family.
- Social media is your choice: on the release, you choose whether we may share clips or stills of your child's work on our website and social media. Opting in and opting out are both completely fine, and your choice has no effect on the program or how we teach.
- If you opt in: we share first name only. We never post a child's last name, school, or home address, and we keep locations generic (e.g. "Atlanta").
- Change your mind anytime: you can withdraw showcase permission by email and we will remove our posts promptly.
- Storage: raw footage is stored securely, used only for your production (and showcasing if you opted in), and deleted on request.
- The same showcase choice applies to screenshots or recordings of remote-program projects (games, simulations, robot missions).
Privacy / data handling
- Data minimization: we collect only what’s needed to run class (typically: email, scheduling info, and enrollment records).
- Vendors: Stripe (payments), Zoom (live sessions).
- Roster: your email is used to provision your workstation account and identify your session.
- No sale: we do not sell personal information.
- Deletion requests: request data deletion at lucas@sim2realacademy.com.
For minors, a parent/guardian should be the point of contact and may manage the account email used for enrollment.
Acceptable use / lab rules
The student lab provides remote compute access. These rules protect students and infrastructure.
- No account sharing: each seat is for one student. Do not share logins or lab access emails.
- Curriculum-only use: use the lab for Sim2Real Academy coursework and projects only.
- No bypassing restrictions: do not attempt to disable safeguards, escalate privileges, or access other students’ data.
- No network probing: no scanning, probing, or attempting to access internal services/networks.
- Respectful behavior: no harassment, hate speech, or inappropriate content.
- Logging: activity may be logged for security, troubleshooting, and safety.
- Violations: may result in loss of lab access and removal from the program; refunds follow the cancellation policy above.
Student lab access
- Students connect to the lab via Moonlight (low-latency game streaming). A session PIN is required to pair.
- A session PIN is provided by the instructor at the start of each session.
- A setup guide is included. We walk through installation together in the first session.
- Lab access is available during scheduled live session times.
